Senior Accounts Payable Specialist

A Senior Account Payable Specialist manages expenditures within the Legislature. He/she responds to division inquiries, provides administrative and accounting support, and coordinates designated projects designed to strengthen the finance and accounting functions of the Legislature.

Duties and Responsibilities
  • Audits all transactions entered into the accounting software for the district of St. Thomas/St. John & St. Croix to include travel vouchers, quarterly per diem reports, travel reports, purchase orders, receipts/invoices, reconcile travel requests, tickets issued and payments for inter-Island travel
  • Coordinates and maintain records of all fiscal documents with appropriate supporting materials
  • Maintains vendor files and new vendor set up in the Legislature’s accounting system
  • Inputs accounting data into the accounting system with speed and accuracy to include receipts and disbursements, ensuring accuracy and keeping the Director/Asst. Director apprised of any issues
  • Reconciles bank accounts and statements and supports banking activities and fund transfers
  • Provide other fiscal management responsibilities
  • Serves as a backup to the payroll team to submit for review/approval
  • Provides overall logistic and administrative support to the Business and Financial Management division
  • Other duties as assigned
Physical Demands

Strength, dexterity, coordination, visual acuity, and vision to use a computer for long periods of time while sitting, stand intermittently, recognize people, words, and numbers, handle files and single pieces of paper; and occasionally lift 5-10 lbs. such as equipment, files, and other reference materials. Moving from place to place, sometimes reaching for items above and below desk level.

Experience

Eight years of experience in accounts payable, preferably in a public agency

Education/certification

Associates or Bachelor of Arts degree in Accounting, Finance and/or Business Administration or equivalent

Master of Arts degree preferred
